The type of personal information we collect 

We currently collect and process the following information:

  • Personal identifiers, contact details, addresses, dates of birth, gender, and characteristics (for example, name and contact details). Parent and child.
  • Financial data: Including bank details and payment/transaction information.
  • Technical data: As required for accessing and providing information through our website.
  • Other data: Including General Practitioner (GP) details, health and social care support agencies (including voluntary and statutory services), relationships, details of educational, health, and occupational history, psychological reports, web usage stats

How do we get personal information and why do we have it?

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Determine if this is the right service for you.
  • Contact you to organize assessment, therapy, training, consultation, or supervision.
  • Conduct assessment, potential treatments, and support.
  • Provide appropriate recommendations for follow-up.
  • Invoice for services provided.
  • Communicate with relevant third parties.

  • We have a genuine and legitimate reason and we are not harming any of your rights and interests. When you provide your personal details we use your information for our legitimate business interests (i.e. to support the assessment of you/your child). Before doing this, though, we will also carefully consider and balance any potential impact on you and your rights.
  • We may share this information with your verbal consent with
    • School/Educational setting
    • GP
    • Other health care clinicians etc.
    • Social workers or similar professionals
    • Third-party relevant electronic systems 
    • Associates working for us and providing services for us
  • In exceptional circumstances, we might need to share personal information with relevant authorities:
    – When there is need-to-know information for another health provider, such as your GP.
    – When disclosure is in the public interest, to prevent a miscarriage of justice, or where there is a legal duty, for example, a Court Order.
    – When the information concerns risk of harm to the client, or risk of harm to another adult or a child. We will discuss such a proposed disclosure with you unless we believe that doing so could increase the level of risk to you or to someone else -With insurance providers where required for a claim to be approved.

We may also receive personal information directly or indirectly, from the following sources:

  • GP and/or other Health Professionals
  • Social workers or similar professionals
  • Education Providers
  • Other

We use the information that you have given us in order to help provide the best service with consideration for the safety and satisfaction of the clients and patients.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: 

  • (a) Your consent. You are able to remove your consent at any time. You can do this by contacting us.
  • (b) We have a contractual obligation.
  • (c) We have a legal obligation.
  • (d) We have a vital interest.
  • (e) We need it to perform a public task.
  • (f) We have a legitimate interest.

How we store your personal information 

Your information is securely stored. 

Any personal information we hold about you is stored and processed in line with the Data Protection Act (DPA, 1998) and the General Data Protection Regulation (GDPR, Regulation (EU) 2016/679) adopted on 27th April 2016 and enforceable from 25th May 2018.

Data will be kept for the duration of your work with us. 

When our work together ends, we will continue to store your data and information using the methods outlined in this policy for seven years from the date of our last contact with you as a client. 

We have the right to retain your data for this seven-year period so that we can respond effectively to any questions or complaints that may later be raised by you and/or your representatives. You have the right to ask for your information to be erased after the period of seven years but not before then. 

After the seven-year period, the information we held about you will be securely erased, destroyed, or disposed of.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information. 
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 
  • Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organization, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
